This project involved building a comprehensive CRM and lead management system for an independent estate agency with three branches. The agency was managing buyer, seller, landlord and tenant enquiries across email, phone and Rightmove β with no central system, inconsistent follow-up and no visibility into the sales pipeline.
The challenge
Leads were falling through the cracks. Rightmove enquiries sat unactioned for hours. Valuation appointments were not followed up systematically. There was no way to see, across all three branches, how many active buyers, sellers and landlords were in the pipeline or at what stage.
The solution
We configured GoHighLevel CRM with separate pipelines for sales, lettings and valuations. Rightmove and Zoopla leads were connected via API to flow automatically into the CRM. An AI lead scoring system prioritised enquiries based on urgency, property value and engagement level. Automated follow-up sequences were built for buyer enquiries, valuation bookings and landlord onboarding. An AI chatbot on the website handled out-of-hours enquiries and viewing requests.
Results
Lead response time reduced from an average of 4 hours to under 5 minutes through automation. Valuation conversion rate increased by 40%. The team saved an estimated 12 hours per week on manual CRM entry. Pipeline visibility improved dramatically β management could see in real time the value of active instructions across all three branches.
